SureDocs Update 1-8-07
New Feature – My Signature
This update of SureDocs includes a new feature that allows you to configure and sign a document yourself from inside the SureDocs interface. In previous versions of SureDocs, if you wanted to sign a document yourself, you had to include yourself as a signer and then sign through the web interface.
The new My Signature feature allows you to configure your signature and assign it to the Loan Officer or Broker signature tags. When you click the ‘Sign’ button to enter the names and email addresses of any signers, if you have your signature linked to one of these tags, it will automatically apply your signature and prompt you with the signing ceremony dialog box. This features saves you the time of having to log into the website to sign the document yourself.
New Feature – Deliver Signed Reports using SecureReceipts
This update includes a new feature allowing you to deliver signed reports using the same SecureReceipts system used to present documents for signing. SecureReceipts is a great way to send sensitive documents in a secure GLB compliant manner. No special software is needed by the recipient and you get page-by-page read receipts showing you exactly when they receive and view the document.
To implement this new feature, we made a slight change to the SureDocs toolbar. The ‘Send’ button has been replaced with two new buttons, ‘Sign’ and ‘Deliver’. The ‘Sign’ button is used to sign the document yourself and/or send copies to other recipients for signing. The ‘Deliver’ button is used to send either a signed or unsigned document to a recipient using SecureReceipts or to upload a document to your Mortgage XSites if you have one.
To deliver an already signed document, from the SecureReceipts log screen, click to select a document and then click the ‘Deliver’ button.
New Feature - Document Verification
With this update, anyone in possession of a document signed by SureDocs can verify the validity and authenticity of the electronic signatures. A link on the SureDocs website allows the holder of a document to enter the serial number of a signature along with the signer name and view the signer information, such as any applicable identity verification data, and timestamps for each signature.
When delivering documents, you can check an option to include a cover page that explains how the document verification process works. This helps give lenders and underwriters extra peace of mind that the documents they are receiving are valid and enforceable.
SureDocs Update 11-08-06
New Feature - Identity Verification
This update of SureDocs includes a new feature that allows you to verify the identity of any person before they view or sign documents. After verifying their contact information and birth date, Equifax creates a series of multiple choice questions that we present to the person. They must answer the questions correctly before continuing to view and/or sign documents.
This type of identity verification is highly reliable and will have no adverse effect on the person’s credit history. Since the questions asked are based on the person’s credit history, a would-be imposter is very unlikely to be privy to the data necessary to correctly answer the questions. And, because this feature is provided as a service from Equifax, the person’s credit is not affected in any way. The access to their file is called a “soft hit” which is not the same as when a lender accesses their file because of a credit request.
To use this feature, simply place a check-mark in the new “Verify Identity” box when entering the name and email address of the person. The signer will be prompted to verify their identity as they create their account or when trying to open the document if their account already existed. Identity verification only has to be done once per account. SureDocs keeps track of whether a signer’s identity has already been verified and will simply ignore future requests.
New Feature - Form Filling
There are situations where you need the person signing a document to fill in some information not known at the time the document is created, such as a social security number or address. We’ve included two new types of form tags that allow you to do just this. The “Input Text” form tag allows you to prompt the borrower and/or co-borrower for additional information at the time they sign. The “Check Box” tag allows you to add a checked option for forms with optional sections or clauses that the signer activates by checking a box. In addition, a “Static Text” tag has been added that allows you to add your own text to a form. This is helpful for cases where the document can’t be edited in your LOS or other form software.
New Feature – Precise Placement of Tags
To help with more accurate and precise placement of tags, you can use the arrow keys on the keyboard to move a tag around. With a tag selected, you can move it one pixel at a time using the arrow keys alone. Holding down the shift key while pressing an arrow key will move a tag 10 pixels at a time.
Feature Change – Security Questions
When a borrower first creates their account, they will only be asked one personal objective question rather than three to use for retrieving passwords in the future. We decided that asking three questions was an unnecessary burden that did not increase the security level.
Bug Fix – Wrong Font on eSignatures
In some cases, the font selected for a signature was not applied at the time the document was committed. The result was the signer’s name being shown in a standard san-serif font. This has been fixed for any future signatures. Past signatures will continue to show the san-serif font. However, this does not affect the legality or validity of the eSignature in any way. It is strictly a cosmetic issue.
Bug Fix – Opening Existing PDF Does Not Modify Document
When opening an existing PDF file rather than printing, SureDocs would modify some of the attributes of the PDF and strip out form data. This problem has been fixed. SureDocs will not modify an existing PDF unless changes are made and you select to save the changes.
Bug Fix – Problem Repainting the Screen
When minimizing and maximizing the SureDocs window, sometimes it would not correctly repaint the screen, leaving part or all of the document not visible. This has been fixed.
SureDocs Update 5-19-06
Desktop Updates
Signatures
We've made a lot of changes that are specifically designed to make placing signatures fast and easy. In most cases, it's completely automatic. The following is a list of the new signature related features you'll see in this release:
Document Recognition Makes Placing Signature Tags Automatic
By far, the biggest news in this update is the new"Auto Place Tags" feature. This feature will scan your pages and recognize what type of form each one is and place signature, date and initial tags automatically. To start with, SureDocs can recognize all the major forms of Calyx Point®, Ellie Mae Encompass® and CBC BytePro®. We'll be adding forms from other LOSs and applications soon. Also, if you have a form that isn't recognized, you can submit it to us from within SureDocs to look at mapping.
You can access this feature from the Signatures menu, Document Thumbnail context (right click) menu, Page menuor from the toolbar. From the Thumbnail context and page menus, it will only place tags for the currently selected page. From the Signatures menu, you can also select to always automatically place tags for documents printed to SureDocs or existing PDF files opened or merged merged.
Save Signature Tag Placements for Custom Forms
Have a custom set of forms that aren't automatically recognized? After placing the tags manually, you can save the placement as a template and then use it over and over again to place tags. To save a set of tags as a template, select the "Save As Template" item from the Signatures menu. When you're ready to place them on the page(s) of a new document, select "Load Template" from the Signatures menu.
Automatically Initial Every Page
Have a document you need to add signer initials to every page? You can do it fast and easy. Just select "Initial Tags" from the Signatures menu. You can control the placement and alignment.
Tag Groups Make Manually Adding Tags Faster
Need to add a signature and date tag for both borrower and co-borrower to a number of different pages? From the Signatures menu select "Tag Groups" to simplify placing these tags all at once.
Deleting Tags Gets Easier
Two new functions allow you to delete all the signature, date and initial tags from either a single page or the whole document. This is a perfect way to eliminate a bunch of tags at once if you placed them by accident. From the "Signatures" menu, select "Delete All Tags" to remove all tags from every page. From the "Page" menu or Thumbnail context menu, select "Delete Tags" to delete all tags on the selected page.
Signers Available on Toolbar Dropdown Menu
Selecting the right signer is faster now. You can click the drop-down arrow next to the Signature, Date or Initials tag on the toolbar to select the signer you want to place the tag for.
SecureReceipts
We've also added some new functionality to the SecureReceipts section as well. This will make it easier for you to manage the documents you have sent and view the events that have occurred. Here is a rundown of the new SecureReceipts features:
Re-send Notifications
In the event that you send a document to someone and they don't receive the email notification, you can now resend it to them. If you entered the wrong email address the first time, you can correct it here too. From the new "SecureReceipts" menu, click the "Re-send Notifications" item.
Delete Documents
If you no longer need access to a document and its events, you can delete them from the list to keep it more organized. from the new "SecureReceipts" menu click the "Delete Document" item.
Print a Hard Copy of the Document Log
From the new "SecureReceipts" menu, click "Print Log" to print a hard copy report of the all the events associated with a document.
